Alarm response

ORION FACILITIES MANAGEMENT · LONDON

An alarm-response arrangement gives your business a defined process for attendance and communication following a reported activation. Orion discusses the premises, access and escalation requirements before agreeing the service.

Plan the response before an activation

An alarm signal alone does not explain what has happened at a property. The instructions should identify who reports the activation, how an attendance is authorised and what checks can be undertaken safely. The role is based on the agreed assignment and the conditions found at the premises, with concerns escalated through the nominated contacts.

What the agreed service can include

  • Receiving an attendance instruction through the agreed route
  • Using authorised keys or access arrangements where provided
  • Observing the agreed areas where safe and accessible
  • Recording the condition found and actions taken within the scope
  • Contacting your nominated representative when further decisions are needed

Planning the service

Tell us the location, type of premises, alarm arrangements and any existing monitoring provider. We discuss access, the authority to reset systems where appropriate, nominated contacts and how the building should be left. Response coverage, availability and any attendance charges must be confirmed in the service agreement.

Responsibilities and ongoing communication

Keep contact details and access instructions up to date. Changes to an alarm system, key set, tenant or building layout can affect attendance. The agreement should distinguish security checks from alarm engineering, repairs and emergency-service responsibilities. No arrival-time commitment should be assumed unless it is explicitly agreed for the site.

Your questions answered

Do I need key holding as well?

Where attendance requires entry, authorised access needs to be arranged. Key holding can be discussed alongside alarm response, with custody and use documented separately.

Does attendance include alarm repairs?

The agreed attendance scope should state what checks and system actions are included. Specialist fault diagnosis and repairs are separate requirements unless expressly agreed.

What happens if the premises cannot be entered safely?

The assignment instructions should explain when to stop, report the concern and seek further direction. Safety and the observed conditions determine whether an inspection can proceed.
