Clear responsibility for site access
We agree how access items are received, identified, held and released, together with the people authorised to give instructions. Key holding can be discussed alongside alarm response, scheduled lock-up and unlocking, but those duties should be expressly included rather than assumed.

Plan your service
Please identify the property, access points, alarm arrangements and the reason key holding is required. We need current authorised contact details and instructions for routine and exceptional access. We also agree how changes to locks, codes, contacts or permissions should be notified.
Document access authority
A key-holding arrangement should identify the premises, the keys or credentials provided and the circumstances in which they may be used. Changes to locks, codes or authorised contacts need to be communicated promptly. The agreement should explain the handover record, access permissions and how keys are returned when the instruction ends.
Separate custody from attendance
Holding keys does not automatically include regular opening, patrol visits or alarm attendance. If these are required, agree the instruction route, availability and charges for each part of the service. This helps prevent confusion about whether a visit has been requested and what the person attending is authorised to do.
